Reporting Procedure – Community Allround The Agency

Scope: This reporting procedure applies to all reports concerning posts, comments and other contributions in the community within Allround The Agency’s online environment.

 

Have you spotted something in the community that you think is inappropriate or unsafe? This reporting procedure explains how you can easily report it and what we do next.

Reporting Procedure – Community

1. When can you report something?

Report a post, comment or other contribution if you think one of the following situations applies: If you’re unsure, it’s better to report it anyway. We’ll assess your report carefully. 2.

 

How do you make a report?

  • Breach of the code of conduct

  • For example:

  • discrimination, hate speech or offensive language;

  • bullying, intimidation or (threatening) shaming;

  • pornographic, extremely violent or otherwise inappropriate content.

  • Infringement of rights or privacy

​

For example:

  • use of text, photos or videos without permission;

  • sharing other people’s private or sensitive information without their consent.

  • Illegal or dangerous content

​

For example:

  • incitement to commit criminal offences;

  • explicit descriptions or advice encouraging self -harm or other dangerous behaviour.

2. What do we do with your report?

  1. Email

  • a clear link or description of the post, comment or contribution;

  • why you think the content breaches the rules or the law;

  • what you expect us to do (for example: review, edit, remove);

  • your name and email address, so that we can ask you questions and provide feedback if necessary.

2.1  Confirmation of receipt

​

We will send you a brief confirmation that we have received your report as soon as possible, and no

later than within 5 working days.

2.2  Assessment

​

We will assess your report carefully. In doing so, we will consider:

  • the community guidelines;

  • the code of conduct;

  • applicable laws and regulations;

  • any explanation provided by the user who posted the content (if we ask them for a response).

Based on our assessment, we may: We will let you know – as far as is possible and permitted – what action we are taking in response to your report.

5. Urgent reports and safety

  • Make no changes

  • If we believe the content complies with the rules. We will explain this briefly, as far as possible.

  • Modify the content

  • For example, by removing sensitive data or editing minor parts.

  • Hide or remove the content

  • If the post clearly breaches the code of conduct, the community terms or the law.

  • Issue a warning

  • For minor or first-time breaches, we usually issue a clear warning to the participant.

  • Restricting or terminating access

  • In the event of repeated or serious breaches, we may restrict a participant’s access to the community (temporarily or permanently).

If the situation is one that you consider urgent, for example: please clearly state in your report that it is an EMERGENCY.

​

  • an immediate threat;

  • a serious form of discrimination or hate speech;

  • content indicating an immediate danger to someone (for example, serious self -harm),

​

In (potentially) life-threatening situations, we also always advise you to contact the emergency services.

5. What we expect from you as a reporter

That you make your report as specific and honest as possible.

  • That you do not use reports to slander others without good reason.

  • That you understand that we may sometimes – following assessment – decide to leave content up (for the time being), with an explanation.

  • the Community Terms and Conditions;

  • the Code of Conduct;

  • the Moderation Protocol;

  • the Consent Form for the Publication of Community Content;

  • Around The Agency’s Privacy Policy.

Together, these documents form the framework for a safe, respectful and inspiring community within our online learning environment.
